overwriting uploaded files in media library

Our website is for a group of people, and as we add members to the group, I upload an updted roster (list of members names and contact info). So far, whether I delete the old roster or not, the indexes by 1 and I then have to change the links on the site to mathc the indexed file name. By way of example: on tuesday I upload “roster.pdf” on friday I’ve added 10 more members and try to upload the file, which works, but now the filename is roster1. pdf. This appears to go on on time and again. It also reguires I update the file reference to th updated media.

WordPress does that on purpose so as not to overwrite existing files that may have mistakenly been named the same as a previously uploaded file. WordPress is built around a MySQL database which means that when you delete a file from your media library, it is not immediately deleted, but “marked” for deletion in the database. The actual deletion will happen at some scheduled point and I have no idea how often they actually delete the files.
The other thing to remember is that if you upload a file in March of 2008, the URL of that file will be http://blogname.files.wordpress.com/2008/03/filename.pdf (or whatever extension). If you then upload a new file to replace that one in April of 2009, the URL will be http://blogname.files.wordpress.com/2009/04/filename1.pdf so even if the filename ended up being the same, the URL would be different and the link in the post or page would have to be changed.

Because of the way WordPress archives uploaded material (blogname.files.wordpress.com/2008/03/filename.pdf) I’ve found it much simpler to upload images to Photobucket, then link them back. I have images which reappear on each post, so pre-Photobucket if I wanted to change them I’d have to go back and change the image by editing each post. But PB leaves the date out of the URL http://i194.photobucket.com/albums/z213/feartheseeds/banners/copyrightbannerbutton.jpg so all I have to do is delete the file I want to change, then upload the new file with the old name.
It doesn’t work with Flickr because they give every uploaded file it’s own unique URL, and I’m pretty sure PB only allows us to upload photo and video files, but it’s something to consider if you’ve got a recurring object…
