Manage Google Workspace users

You can add, change, or cancel mailboxes/users for your Google Workspace account. In this guide you will learn how to manage your Google Workspace account on WordPress.com.

This guide provides instructions for sites that have purchased Google Workspace directly through WordPress.com. If your subscription is managed through Google Workspace, visit Google Workspace Admin help for assistance.

Add new mailboxes

Your Google Workspace account can have multiple users, each with their own email address and inbox. To add a new user to your Google Workspace account, follow these steps:

  1. Visit your WordPress.com site’s dashboard.
  2. Navigate to Upgrades → Emails (or Hosting → Emails if using WP Admin) on the left.
  3. Click the “Add new mailboxes” button.
  4. Fill out the form with your new user’s information and click the Continue button.
  5. Review your purchase in the shopping cart and click the Pay button to confirm the purchase.
  6. Provide the login information from the confirmation email to the new user.

Billing for additional mailboxes

When you create an additional mailbox, you are only charged for the time left until your next renewal date. This way, your mailboxes all renew at the same time. On the next renewal, you will be charged the full cost of the mailbox.

Change a user or mailbox name

You can update a user’s profile (first and last name) or rename a Google Workspace user’s address (the part before the @ symbol) and display name by following the steps from Google.

Change the email’s domain

You can change the primary domain associated with your Google Workspace account (the part after the @ symbol) by following the steps from Google.

Cancel a mailbox

You can remove individual mailboxes from your Google Workspace account without canceling your entire subscription. To cancel a mailbox, follow these steps:

  1. Navigate to admin.google.com.
  2. Log in using your Google Workspace administrator email address and password.
  3. In the users list, click “More options” and then “Delete user” to remove the user account.
  4. Leave the license unassigned to any user until your next renewal date.

The license will automatically be removed from your account and billing when your Google Workspace subscription renews. If you assign a new user to the license before renewal, you will continue to be charged for it.

Use the “Delete user” option to remove the user account completely. The “Suspend user” option does not remove the user account and will not cancel the mailbox billing.
